The Office of the Dean of Students provides Great Danes and their support network with inclusive, innovative, and impactful support services and education to promote successful scholarship through specialized resources, consultation, and, when appropriate, advocacy to help them navigate the University at Albany. Our Office serves as an umbrella for Community Standards (along with Off-Campus Student Services), Disability Access and Inclusion Student Services (DAISS), Supplemental Support Services, and Veteran and Military Student Services.
We strive to improve equity through access, develop an empowered community, promote the holistic well-being of our Great Dane community, and enhance our units and staff.
Required Qualifications:
- Enrollment in a graduate program at the University at Albany, SUNY (by July 1, 2024).
- Reside on-campus or off-campus within the City of Albany
- Highly proficient in MS Office (Word, Excel, Exchange, Publisher, etc.) – with a significant ability to easily use, maintain, manipulate, and analyze large data sets in Excel.
- Impeccable attention to detail.
- Experience in customer service and providing administrative support (i.e., answering phones, responding to customer emails, scheduling meetings, etc.).
- Ability to work with a culturally diverse population.
- Ability to quickly learn new technologies and online databases.
- Ability to critically and analytically process complex information.
- Ability to work independently and as part of a team.
- Ability to maintain a high level of confidentiality and professionalism.
Preferred Qualifications:
- Knowledge of Community Rights & Responsibilities, the University’s student code of conduct.
- Knowledge of the Jeanne Cleary Act and the University’s Annual Security Report.
- Experience with statistics and assessment.
- Experience with social media and digital marketing
- Experience with developing educational programming
Responsibilities:
- Clery Data: Review Student Conduct Referrals to assess disclosure/compliance under the Jeanne Cleary Act and update student conduct records for reporting. Compile reportable numbers annually to be included in the University’s Annual Security and Fire Safety Report. Work with Residence Life staff to review and maintain residential on-campus student conduct records.
- DMCA: Provide administrative support in coordinating the Digital Millennium Copyright Act (DMCA) case resolution process including meeting with students to resolve their cases.
- STEPS (Alcohol and Drug Education Program): Input students into the STEPS spreadsheet. Assist CAPS (Counseling and Psychological Services) with managing and maintaining the spreadsheet. Send reminders to students who have not completed the program by their deadline.
- CoRe (Community Re-Engagement Program): Meet with students to discuss the program requirements and conduct follow-up with students interested in CoRE or currently completing the program. Work with the CoRE Review Committee and Community Standards to review completed CoRE submissions utilizing a rubric. Communicate directly with students about the outcome of the CoRE Application Review. Assist Community Standards staff in collecting and analyzing data on CoRE participation, completion, and future interaction with the conduct process.
- Assessment: Assist in generating reports, formatting, and analyzing data for the various conduct processes, educational programs, etc.

Student Conduct Hearings:
- Hearing Preparation: technical Zoom support and in-person support including – setting up Zoom meetings, assisting in compiling copies of referrals and evidence for board and participants; creating a hearing script
- Rationale/Decision Writing: Assist the Board in writing their decision as needed.
- Serve as a Hearing Board Member when needed and participate in annual student conduct board training, an 8 – 10 hour commitment, and other required in-person training.
- Presentations and Programming: Assist with presentations to campus constituencies regarding the student conduct process and programming events hosted by the Office of the Dean of Students or Community Standards, including workshops, tabling, etc. Engage students in learning about the conduct process and Community Rights and Responsibilities. Assist with developing and maintaining a social media presence for the Dean of Students Office by creating engaging content for social media.

Administrative:
- Digitizing, inputting, and maintaining confidential student records, conduct referrals and correspondence in “Advocate by Symplicity” – the student conduct case management software.
- Assist with Student Conduct Records Checks.
- Provide at minimum 10 hours weekly of secondary administrative support for the Office of the Dean of Students (i.e. customer service, answering phones, scheduling staff/student meetings, triage walk-ins, office filing, etc.).
- Support and participate in various Unit and Divisional, trainings, programs, and initiatives (i.e. Attend Student Conduct Institute trainings; attend unit and divisional meetings, events, trainings).
- Coordinate/assist with additional projects as assigned by the Office of the Dean of Students or Community Standards.

Off-Campus Student Engagement:
- Conduct door-to-door engagement sessions with students and community members who reside off-campus in areas that experience increased activity during specific times of the academic year.
- These sessions will primarily occur after hours on weekdays during these more active times.

Reporting Structure:
- These positions report to the Assistant Dean of Students, Community Standards, who reports to the Associate Dean of Students.
- These positions receive direction from the Community Standards Conduct Coordinators
- As Graduate Assistants in the Office of the Dean of Students, full-time staff in the department may provide direction or corrective action as appropriate.
Successful applicants must attend training from August 15, 2024, through August 21, 2024.
Appointment: August 15, 2024 – May 21, 2025
20 Hours per week (between the hours of 9 am to 5 pm, in-person. Office and University programming may take place outside of regular business hours.
Compensation: A stipend of $12,000 is paid on a bi-weekly in accordance with the University Payroll Schedule for Graduate Assistants. This position does not provide a tuition waiver.
