Position Summary:
The Procurement Agent role will be responsible for aiding and assisting in the procurement of services, material, equipment, and more for ThayerMahan. The Procurement Agent will receive quotes and requisition forms in order to create Purchase Orders and Professional Service Agreements within a timely manner. This role will require the candidate to handle multiple Purchase Orders at one time and continuously control internal documentation to maintain visibility and communication for other departments within ThayerMahan.
This position requires the candidate to be well organized, detail oriented, and confident in their work and knowledge of what is being procured. The Procurement Agent will have the first opportunity to review negotiations received from our sellers and will need to have a basic understanding of contractual and legal terminology. This role will require strong communication, both verbal and written, and someone who is confident to negotiate over the phone and with both domestic and international vendors.
Overall, the Procurement Agent will work for the continuing development and implementation of procurement within ThayerMahan and our rapidly growing organization. They will be responsible for understanding how ThayerMahan operates and become familiar with the products we house and corresponding projects we manage.

Role and Responsibilities:
- This role reports directly to the Procurement Manager, but regularly collaborates with other teams within ThayerMahan.
- Prepares and routes Purchase Orders and Professional Service Agreements for both internal review as well as external signatures.
- Provide continuous PO support while managing 10+ PO requisition forms.
- Regularly engage in direct communications with the AP/Finance/Project teams on document statuses, project code questions, and quote information.
- Participate in short- and long-term planning and budgetary development to support strategic business goals.
- Negotiate favorable terms and conditions with Seller and efficiently and effectively communicate these with the General Counsel team.
- Implement process improvement and cost reduction initiatives.
- Manage internal documentation to maintain visibility and communication within departments.
- Manages documentation control and ensures all required seller documents are in ThayerMahan systems.
- Assist in engaging vendors for quotes and estimates.
- Perform other duties as assigned by the Procurement Manager
- Represent the core values and image and adhere to the internal policies and standards of ThayerMahan.
Location: Part-time with potential for Full-time (hybrid 3 – 4 days/week on-site) Groton, CT
Qualifications and Educational Requirements:
Required Experience, Skills:
- Bachelor’s degree in one of the following: Supply Chain Management, International Business, Logistics, Business Administration
- A minimum of 2-3 years in a previous subcontract management role or roles similar which demonstrated the understanding of supply chain management, subcontract/PO/PSA negotiations, legal terminology, and or more.
- Strong verbal and written communication and presentation skills required.
- Detail oriented and organizational skills highly preferred.
- Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, OneNote)
- Requires the capabilities to efficiently work in a hybrid environment.
- Strong interpersonal, teamwork, and leadership skills necessary.
Preferred Experience, Skills:
- Government subcontracts with knowledge of FARS and DFARS
- Basic knowledge and understanding of Incoterms
- Knowledge of the Maritime Industry
Physical Requirements/Working Conditions:
- Hybrid work is available with anywhere from 3 to 4 days per week in Groton HQ as needed after an initial ramp-up period.
- Hybrid location must have an efficient and effective setup for work.
- Due to our contracts with the US Government, US Citizenship is a requirement.
