Position Overview
North Country School and Camp Treetops seek a Part-Time Bookkeeper / Office Assistant to support the institution’s Business Office. In this role, you will support accounting functions including Accounts Payable and Accounts Receivable processing, creation and maintenance of employee files, and complete general office tasks such as filing, mail processing, etc.
What You Will Do
As an integral part of the Business Office team you will provide support to the Assistant Business Manager and the Chief Financial Officer / Business Manager. Each day will involve the completion of critical bookkeeping and organizational tasks to keep a busy office running smoothly.
How You Will Spend Your Time
Accounts Payable Processing (50% of time)
As a key team member of the the Business Office, you will:
- Establish new vendor records in the MultiLedger accounting system.
- Collect and process vendor invoices, including working with campus constituents to verify receipt of goods, obtain payment approval confirmation, and collect proper expense account coding.
- Prepare vendor invoice batches for review and approval by CFO.
- Enter invoices into the MultiLedger accounting system.
- Generate disbursement checks to match with vendor invoices, collect appropriate signatures on checks, and mail checks.
General Office Work (40% of time)
An important part of this position will include supporting the general office operations of the Business Office through tasks including:
- Creating new employee packets inclusive of hiring forms, benefit information, policies, etc.
- Following up on the receipt of these completed forms and preparing them for the Assistant Business Manager to establish new employee records in the PayChex system.
- Creating and maintaining new student files.
- Creating and maintaining vendor files.
- Supporting the Business Office staff as needed with tasks such as processing mail, taking phone calls, and running pre-formatted reports.
Accounts Receivable Processing (10% of time)
Accounts receivable processing will include:
- Sending banking information to families to facilitate payment.
- Processing bank deposits.
- Filing payment records in the appropriate customer file.
The Skills You Bring to Our Community
- Associate’s Degree or higher in accounting, finance or business preferred, or 3+ years of experience in the field with a demonstrated record of success
- Experience working with accounting software systems
- Strong customer service skills and a positive attitude
- Prior experience with maintaining employee records (review of payroll forms for completeness and accuracy) is a plus
- Ability to be a team player in a small office setting
- Previous work in nonprofits and past experience working with children a plus
